What it does

Less paperwork, more hours on the clock

MyHeavyPlantMate replaces the service book in the cab, the daily check sheets on the clipboard, the reminders scattered across your calendar and the LOLER reports in a plastic wallet.

  • Every machine at a glance

    Open the app and Home shows all your machines with what needs doing on each, a status pill when one is marked Do not use, on hire or reported stolen, the next jobs coming due across the fleet, and a Start button on each machine.

  • Maintenance by engine hours

    Set services by engine hours, by time, or both, whichever comes first. Engine oil and filters, hydraulic oil, track tension, greasing, DPF and AdBlue checks all get a clear status, and hours-based jobs show a forecast date from how much the machine actually works.

  • Daily pre-use checks with defects

    Every machine starts with the daily pre-use check the law expects. Pass, fail or skip each item; a fail raises a defect with its severity, and a “Do not use” defect stops the machine until it is fixed. Build your own lists from suggestions matched to the machine.

  • LOLER, PUWER and MOT in date

    Each machine’s Compliance page shows its statutory items together: the LOLER thorough examination, PUWER inspection, MOT, road tax and insurance, with what is overdue, what expires soon and what is in date. Mark an examination done and the app asks for the report.

  • Shifts and hours

    Start a shift in two taps: the site, the operator and the daily check on one screen, then Go. The engine timer runs on its own, or read the hour meter at the start and the end. Hours add up even if your phone locks. End the shift with fuel added, photos and your end-of-shift checks.

  • Fuel and burn rate

    Log diesel, HVO, red diesel, petrol and AdBlue with the cost and the hour meter at the fill. Each machine shows litres and cost over the last 30 days and its litres per hour, so a thirsty engine or a leaking tank shows up early.

  • Documents with expiry reminders

    Keep LOLER reports, PUWER inspections, insurance, V5C, MOT, CE declarations, hire and finance agreements, invoices, manuals and operators’ CPCS or NPORS cards, with numbers, expiry dates and a photo or PDF of each. You’ll get a nudge before anything runs out.

  • Attachments, operators and hire

    Know which bucket, breaker or forks is on which machine and where the rest are. Keep your operators and their cards. Put a machine on hire with the customer, site, rate and return date, and get an alert when it is due back. Print a QR tag for every machine.

  • Works offline, backed up to your account

    No signal in the cutting or at the bottom of the quarry? The phone app keeps everything on your device and syncs when you’re back in range. Your records, photos and documents are kept safe with your account, so a new phone or a second phone has everything, and you can make an audit pack PDF for any machine.

How it fits together

Work as normal. The app does the sums.

  1. Start Two taps: Start, then Go. The daily pre-use check is on the same screen, and a “Do not use” defect stops the shift before it starts.
  2. Work The engine timer runs while the machine is working, or read the hour meter at the start and the end.
  3. Finish Two taps again: End shift, then Finish, with your end-of-shift checks, fuel added and photos on the same screen.
  4. Stay ahead Engine hours update and you’ll see what’s coming due: “500-hour service due in 12 hours”, “LOLER expires in 20 days”.

Frequently asked questions

Does it work without a phone signal?

Yes. The iPhone and Android apps store everything on your phone first, so you can start shifts, run the engine timer, do the daily check, report defects and record maintenance with no signal at all. Your changes sync the next time you have a connection.

Which machines is it for?

Construction and agricultural plant of any make: excavators and mini excavators, wheeled excavators, backhoe loaders, telehandlers, dumpers, rollers, wheel loaders, dozers, skid steers, cranes, MEWPs, forklifts, generators, compressors and tractors, with one engine, two, or none at all.

When you add a machine, we suggest ready-made maintenance jobs matched to its type, its engine and what’s fitted (quick hitch, AdBlue, DPF, breaker circuit, cab, telematics, road registration, lifting equipment), plus the daily pre-use check. When you build your own checklists, the items we suggest are matched to your machine too. A machine that lifts people gets its LOLER examination every 6 months instead of 12. You can edit everything and add your own jobs and lists.

Does it replace my LOLER and PUWER inspections?

No. MyHeavyPlantMate keeps the records and tells you when things are due: the daily pre-use check PUWER expects, the thorough examination LOLER requires, the MOT, and the report or certificate each one produces. The inspections themselves are still done by a competent person, and you remain responsible for the safety of your machines and the people around them.

What it does give you is an answer when someone asks: the Compliance page for each machine, the history of its daily checks and defects, and an audit pack PDF for any date range.

Is my data private?

Yes. There are no adverts, no analytics or tracking tools, and we never sell your data. If the app crashes, it sends us a crash report without personal details so we can fix the problem.

Your photos and PDFs are backed up privately to your own account. Your position at the start and end of a shift is only saved if you allow it. When you tap the location button to fill in a site name, your phone’s built-in location service (from Apple or Google) looks up the name.

Are my photos and documents backed up?

Yes. Photos and PDFs you add to documents, service records, defects, shifts, attachments and machines are backed up to your account in cloud storage, so they open on your other devices too. Photos are compressed to under 1 MB and PDFs can be up to 2 MB. Add one with no signal and it uploads when you’re back in range.

You can also share or export any file from the phone app.

How do I delete my account?

In the app, go to More → Your data → Delete account. This permanently deletes your account and everything in it. If you can’t get into the app, see how to delete your account for other ways to ask us.

How much does it cost?

MyHeavyPlantMate is free to download and comes with a 30-day free trial, no card needed. After that it’s £49.99 a year, less than £1 a week, for every machine on your account. You subscribe in the iPhone or Android app, through the App Store or Google Play. The subscription renews every year, and you can cancel any time in your App Store or Google Play settings.

If you don’t subscribe, your account becomes read-only: you can still see and export everything, and your data is kept for 12 months in case you come back.

How many machines can I add?

Up to 25 per account, with as many attachments and operators as you need. Running a bigger fleet? Email us.

How many photos and files can I keep?

Every account includes 1 GB of storage for photos and PDFs, which is room for around a thousand photos. Each shift, defect, service record, attachment and document holds up to 10 of them, and a machine has its cover photo. The app shows what you’ve used under More → Your data.
